Creative leads and studio owners running a team of more than one person, who are tired of quality and process depending on who happens to be handling a project that day.
HOW TO USE IT
Each SOP below is a starting template. Adapt the specifics to your team's actual tools and terminology, then treat it as the default way things are done — not a suggestion — unless someone has a good reason to deviate.
SOP 1 — NEW PROJECT INTAKE
Purpose: make sure no project starts without the information the team needs to do it right.
- 1. Client brief or discovery questionnaire completed and reviewed by the project lead.
- 2. Scope, budget, and timeline confirmed in writing before any design work begins.
- 3. Project added to the team tracker with a deadline and a named owner.
- 4. Kickoff note shared with everyone touching the project, summarizing the objective and constraints.
SOP 2 — DESIGN REVIEW
Purpose: catch quality and brand issues before work ever reaches the client.
- 1. Creator self-reviews against the original brief before submitting for review.
- 2. A second team member — not the creator — reviews for brand consistency and craft.
- 3. Feedback is given in writing and tied to the brief, not personal taste.
- 4. Creator revises and resubmits; the reviewer confirms before the client sees it.
SOP 3 — CLIENT REVISION HANDLING
Purpose: keep revisions organized and protect the project's scope.
- 1. All revision requests are logged in one place, even ones received by phone or voice note.
- 2. Each request is checked against the number of revision rounds actually agreed.
- 3. Anything beyond scope is flagged to the client before any work begins on it.
- 4. Each round of revisions is delivered as one complete update, not partial fixes trickling out.
SOP 4 — FILE HANDOFF & ARCHIVING
Purpose: make sure finished work stays usable and findable long after the project ends.
- 1. Files renamed and organized using the team's standard naming convention.
- 2. All formats required by the brief are delivered — source, print-ready, and web, as needed.
- 3. Final files archived in shared team storage, not left only on the creator's device.
- 4. Project marked complete in the tracker, with final files linked.
MAKE IT YOURS
Swap in your team's actual tool names — Trello, Notion, a shared drive, a WhatsApp group — wherever this kit says "tracker" or "shared storage." An SOP only works if it matches how your team actually communicates today, not an idealized version of it.
